Zenor Founding Cohort

Privacy Notice

Zenor AI Ltd (“Zenor”, “we”, “us”) is responsible for the personal data collected and used in connection with the Zenor Founding Cohort.

This Privacy Notice explains how we use and protect your personal data when you participate in the Cohort.

1. What information we collect

During the Cohort, we may collect and process:

  • your name and contact details;
  • your Zenor account information;
  • your conversations and interactions with Zenor;
  • product usage and behavioural data;
  • questionnaire and feedback responses;
  • information provided during any optional follow-up interview; and
  • technical information necessary to operate and understand use of the product.

2. How we use your information

We use Participant data to:

  • create and provide access to Zenor;
  • provide support during the Cohort;
  • operate and manage the Cohort;
  • understand how Participants use Zenor;
  • evaluate Cohort results and feedback;
  • identify issues and opportunities within the product; and
  • develop and improve Zenor.

We will not sell your personal data or use it for advertising.

3. Our lawful basis

Under UK data protection law, we must have a lawful basis for processing your personal data.

Where processing is necessary to provide your participation in the Cohort and access to Zenor, we may process your information because it is necessary to perform our agreement with you.

Where we analyse usage, interactions and feedback to evaluate the Cohort and develop and improve Zenor, we rely on our legitimate interests in testing, evaluating, developing and improving our product.

We consider these activities reasonably expected in the context of voluntarily participating in a product-testing cohort and take steps to minimise the impact on Participants’ privacy.

Where another lawful basis is required for particular information or processing, we will apply the appropriate basis and provide any additional information required by law.

4. Who has access to your information

Access to Participant data is restricted to authorised people working on Zenor who require it for the purposes described above.

Our contracted service providers, including hosting, AI and analytics providers, may process Participant data where necessary to provide and operate Zenor and the Cohort.

They may only process the information for the purposes for which we engage them and not for their own independent purposes.

5. Research and analysis

Where practicable, Participants will be identified using a pseudonymised participant identifier rather than their name when Cohort data is used for research and analysis.

We may retain aggregated and genuinely anonymised findings where individual Participants can no longer be identified.

6. How long we keep your information

Identifiable Participant data, including conversations and usage data, will be deleted or irreversibly anonymised no later than 60 days after the Cohort ends.

You may ask us to delete your identifiable Participant data earlier. Where that information is required for Zenor to function, deletion will mean that you can no longer participate in the Cohort.

We may retain genuinely anonymised and aggregated information that cannot identify you.

7. Your rights

Depending on the circumstances, UK data protection law gives you rights in relation to your personal data, including the right to:

  • request access to your personal data;
  • ask us to correct inaccurate information;
  • request deletion of your personal data;
  • ask us to restrict certain processing;
  • object to processing based on legitimate interests; and
  • request transfer of certain personal data where applicable.

You may also raise a complaint with the Information Commissioner’s Office (ICO) if you have concerns about how your personal data has been handled.

8. Withdrawing from the Cohort

Participation in the Cohort is voluntary and you may withdraw at any time.

Withdrawal from the Cohort does not necessarily require us to delete information that we are legally entitled or required to retain, although the retention periods described above will continue to apply.
